What to know about Virtual Stock

A retailer dropship network, not a marketplace

Virtual Stock provides the platform retailers use to run dropship and extended-range programmes. The retailer owns the customer, the storefront and the price; you supply and ship the product.

Every retailer is its own programme

Each trading partner on Virtual Stock sets its own product data requirements, service levels, carriers and invoicing rules, so one supplier account can carry several quite different configurations.

Suppliers own stock and delivery

You hold the inventory and ship each order directly to the retailer’s customer, confirming dispatch and tracking back through Virtual Stock against the retailer’s delivery promise.

Portal or API

Smaller suppliers can work orders by hand in the Virtual Stock supplier portal. Suppliers with volume connect through the Virtual Stock API so products, orders, stock, shipments and invoices move automatically.

Invoicing runs through the platform

Suppliers invoice the retailer through Virtual Stock against what was actually shipped, which keeps purchase order, dispatch and invoice matched for the retailer’s finance team.

Tested before you go live

Virtual Stock makes end-to-end testing with the trading partner’s configuration mandatory before a supplier goes live, every flow has to pass before real orders are released.

One account, several different retailers

Suppliers often assume a single Virtual Stock setup covers every retailer. In practice each trading partner has its own configuration. Commercium keeps those rules per partner while stock, orders into your ERP and shipping run through one flow.

Product GET mapping is most of the work

Orders, shipments and invoices behave consistently across retailers. Product data does not, each partner shapes it differently, so that is where onboarding time goes and where we reuse the most templates.

Invoice only what shipped

Retailers match invoices to dispatched quantities. Raising the invoice from the shipment event, not from the original order, avoids rejected invoices on partial shipments.

Carrier codes must match the partner’s list

A tracking number with a carrier the retailer does not recognise can fail silently. We map your carriers and services to each partner’s accepted codes during setup.

One stock pool, per-partner buffers

Supplying four retailers from the same warehouse means four chances to oversell. Pooling stock and holding a small buffer per partner keeps every retailer accurate.

Cancellations need a fast loop

Retailer customers cancel after ordering. Picking up cancellations on a short cycle and holding them against open picks stops orders being shipped that no longer exist.

The second retailer should be easy

Once the first partner is live, the next one reuses the same connection, stock pool and back-office mappings, only the partner-specific product mapping and tests are new.
