Supply Retailers on Virtualstock
Straight Out of Acumatica

Commercium connects your Acumatica ERP to your Virtualstock supplier account and runs the dropship cycle for every retailer you supply: live stock pushed from your Acumatica warehouses, retailer orders created as sales orders under each retailer’s customer account, confirmed shipments sent back with carrier and tracking, and your Acumatica invoices sent for exactly what you shipped.

About The Integration

How Acumatica and Virtualstock connect

Commercium sits in the middle, turning retailer orders from Virtualstock into Acumatica sales orders, and Acumatica stock, shipments and invoices into Virtualstock stock updates, dispatches and supplier invoices.

The features

What Commercium automates

Acumatica → Virtualstock

Inventory sync

Available quantity from the Acumatica warehouses you pick is pooled, buffered and sent to Virtualstock for each retailer product, so a sale on any channel updates your retailers within minutes.

Virtualstock → Acumatica

Order sync

Retailer orders from Virtualstock land in Acumatica as sales orders under the retailer’s customer account, with the retailer’s PO as the customer order number, the delivery address on the order and the right warehouse assigned.

Acumatica → Virtualstock

Shipment sync

When a shipment is confirmed in Acumatica, the dispatch goes to Virtualstock with the Ship Via carrier and tracking number, so the retailer and the customer see it straight away.

Acumatica → Virtualstock

Invoice sync

Each released Acumatica invoice goes to the retailer on Virtualstock with the shipped lines, cost prices, VAT and any freight, so the retailer’s invoice and your ledger always match.

Talk to us
How it works

From demo to a live Virtualstock channel in Acumatica

Seven steps from the first conversation to a controlled go-live: your Virtualstock API access, Acumatica and Virtualstock connections, retailer SKU, stock, order, dispatch and invoice configuration, then a verified test before you go live.

Step 1 of 7

Book a demo & scope the setup

Tell us which retailers you supply through Virtualstock, how your Acumatica warehouses, customers and order types are set up, and how orders and invoices should flow. We walk through the integration on a live call and show you how Acumatica and Virtualstock will work together.

Flows confirmed: order, shipment, inventory and invoice
Which retailers you supply through Virtualstock
Which Acumatica warehouses feed retailer stock and what buffer to hold
How retailer orders should be created in Acumatica (customer, order type, branch, warehouse)
Each retailer’s invoice and VAT requirements
Plan and integration requirements confirmed before you subscribe
Step 2 of 7

Get your Virtualstock API access

Suppliers join Virtualstock at a retailer’s invitation. Once your supplier account is live, API credentials are issued so Commercium can read orders and send stock, dispatches and invoices.

Supplier account active on Virtualstock
Retailer connections confirmed
API credentials requested from Virtualstock
Each retailer’s dispatch and invoice rules gathered
Step 3 of 7

Log in to the Commercium portal

You get access to the Commercium portal, where connections, mappings, sync logs and alerts live for both platforms.

Portal account created for your team
Users invited with the right roles
Notification email for sync and invoice alerts set
Step 4 of 7

Connect Acumatica in Commercium

Commercium connects to your Acumatica instance through the contract-based REST API, using an integration user or an OAuth 2.0 connected application you set up and approve.

Instance URL, tenant and branch confirmed
Integration user or connected application created
Access to stock items, warehouses, customers, sales orders, shipments and invoices approved
Test read of stock items and warehouse quantities
Step 5 of 7

Connect Virtualstock with Commercium

Your Virtualstock supplier account is linked so Commercium can send stock, download retailer orders, send dispatches and send invoices.

API credentials added to Commercium
Retailer products matched to Acumatica stock items by inventory ID or cross-reference
Each retailer mapped to its Acumatica customer account
Unmatched products listed for review
Open orders reviewed before first import
Step 6 of 7

Configure stock, order, dispatch & invoice rules

We map how each record moves between the two platforms so your warehouse and finance teams see exactly what they expect.

Acumatica warehouses pooled and safety buffer set
Order type, branch and warehouse per retailer
Ship Via codes mapped to each retailer’s carriers
Invoice per shipment, cost prices and VAT tax categories agreed
Freight charges and invoice numbering set
Alerts for late dispatches and held invoices
Step 7 of 7

Test, verify & go live

Every flow is run on real data before switching on: a stock change pushed, a retailer order imported, a shipment sent with tracking and its released invoice sent to the retailer.

Stock change seen on Virtualstock within minutes
Test order created as an Acumatica sales order
Dispatch with carrier and tracking visible to the retailer
Released invoice sent and accepted for the dispatch
Go-live date agreed and sync switched on
About the platforms

Acumatica and Virtualstock, and what connecting them actually involves

One is your ERP: stock, sales orders, shipments and the invoices on your books. The other is the dropship platform that connects you to major retailers, who send you their customers’ orders to ship and pay you against your invoices. The work of the combo sits in between.

Acumatica

Your cloud ERP & stock source

Acumatica is a cloud ERP built for small and mid-sized businesses, with editions for distribution, manufacturing, retail and commerce, and licensing based on the resources you use rather than per user. Products live as stock items with quantities per warehouse, customer orders run through sales orders, shipments and invoices that post straight to the general ledger, and everything is reachable through the contract-based REST API. For Virtualstock suppliers it already holds the stock, the customers and the books, which makes it the natural engine for a dropship channel.

Virtualstock

Dropship & curated marketplace platform

Virtualstock is a UK dropship and curated marketplace platform, founded in 2004 in Reading and now part of Logicbroker. Retailers such as Argos, B&Q, Currys and John Lewis use it to extend their online range without holding stock, processing more than 8 million orders and over £2 billion in sales a year. Suppliers join at a retailer’s invitation and work through one connection to every retailer they supply: they keep stock up to date, receive the retailer’s customer orders, dispatch them directly with tracking and invoice the retailer. Suppliers connect through the portal, a REST API or flat files over SFTP.

How Acumatica concepts map onto Virtualstock
AcumaticaVirtualstockWhat Commercium does
Stock item / matrix item Retailer product on VirtualstockProducts are set up on Virtualstock with each retailer. Commercium matches each Acumatica stock item to its product on Virtualstock during onboarding, so stock and orders flow without recreating anything.
Inventory ID / cross-reference Supplier SKU & retailer codeThe Acumatica inventory ID is matched to your supplier SKU, and each retailer’s own product code can sit on the item as a customer cross-reference, so every order line maps back to the exact stock item.
Quantities per warehouse Stock levelAvailable quantities in the selected Acumatica warehouses are pooled into one figure, with a safety buffer, and pushed per stock item.
Sales order, per retailer customer Retailer orderRetailer orders are created as Acumatica sales orders under each retailer’s customer account, with the right order type, branch and warehouse, and the Virtualstock and retailer order numbers stored on the order.
Shipment & tracking DispatchWhen a shipment is confirmed, Commercium marks the order dispatched on Virtualstock with carrier and tracking, including partial shipments.
Released SO invoice Supplier invoiceEach released invoice is sent to the retailer with the shipped lines, cost prices, VAT and freight, so invoices match what the retailer received and what sits in your receivables.
The surface we work with
Acumatica Contract-based REST API Stock items, warehouse quantities, customers, sales orders, shipments and invoices.
Acumatica Push notifications Change capture on quantities, shipments and invoices so stock, dispatches and invoices reach Virtualstock without waiting for the next poll.
Virtualstock Authentication Supplier API credentials issued for your Virtualstock account, scoped to the retailers you supply.
Virtualstock Stock levels Stock levels per product, sent as stock moves in Acumatica, with a scheduled full refresh.
Virtualstock Orders New retailer orders downloaded with delivery address, line items, retailer references and cost prices.
Virtualstock Dispatches Dispatch updates with carrier and tracking, including partial dispatches.
Virtualstock Invoices Supplier invoices sent from each released Acumatica invoice, with lines, cost prices, VAT and freight.
Field experience

What we learnt while integrating Virtualstock for our users

Working notes from live Virtualstock supplier integrations, the things that decide whether retailer orders run quietly, and how each one became automation inside Commercium.

Every status you send is visible to the retailer

On Virtualstock the retailer sees each update a supplier sends, from the moment an order is received to dispatch and tracking. Retailers measure suppliers on how quickly and accurately those updates arrive, and a dispatch sent late or without tracking becomes a customer service call at the retailer. Commercium helps suppliers:

Download orders as they arrive
Map each retailer separately
Create sales orders per retailer
Send dispatch the moment you ship
Include carrier & tracking every time
Alert before dispatch deadlines slip
Dispatch-safe order flow
1Retailer order received
2Created as an Acumatica sales order
3Shipment confirmed with tracking
4Dispatch sent to Virtualstock
5Invoice raised for the dispatch

One Virtualstock account, many retailers with their own rules

Virtualstock gives a supplier one connection to every retailer it supplies, but each retailer is still its own relationship: its own product codes, cost prices, dispatch expectations and invoice rules, and sometimes separate channels for regions or buying groups. Commercium keeps one Acumatica stock pool, books each retailer to its own customer account and maps each retailer’s orders, codes and invoice rules separately, so adding a retailer is configuration, not a new build.

One stock pool, many retailers
Acumatica Commercium retailer mapping Retailer A Retailer B Retailer C

Invoices fail on the details, not the totals

Retailers reconcile supplier invoices against what they ordered and what you dispatched. An invoice with the wrong cost price, a missing line, a quantity that doesn’t match the dispatch or the wrong VAT treatment gets held, and payment waits until someone finds the problem. Commercium has built depth in:

Invoice per dispatch
Retailer cost prices
Line-level quantities
VAT rates per line
Delivery charges
Partial dispatch invoicing
Invoice numbering rules
Rejected invoice alerts
Without Commercium
1Order shipped in Acumatica
2Invoice typed into the portal
3Cost or VAT keyed wrong
4Retailer holds the invoice
5Payment delayed
With Commercium
1Dispatch confirmed with tracking
2Released invoice taken from Acumatica
3Cost and VAT taken from the order
4Invoice sent automatically
5Only true exceptions reach a human

Stock is the first thing retailers check

Retailers hide or suppress products when supplier stock is out of date. We send changes as stock moves in Acumatica, with a full stock refresh on a schedule.

Tracking has to work for the retailer’s customer

A dispatch without a tracking number, or with a carrier the retailer can’t track, leaves the customer chasing the retailer. We map each Acumatica Ship Via code to the carrier and service each retailer expects.

Partial dispatches need partial invoices

When one line ships today and another next week, each dispatch needs its own invoice for exactly what left the warehouse. We invoice per shipment, not per order.

Retailer codes are not your SKUs

Retailers often reference products by their own codes. We match each retailer’s code to the Acumatica stock item through customer cross-references, so every order line lands on the right item.

Packs and bundles need translating

A retailer’s single product can be an Acumatica kit or a multi-pack unit of measure. We translate quantities both ways, so stock and orders stay correct.

Supplier performance is on show

Retailers compare dispatch speed and stock accuracy across their supplier network. We alert on orders at risk before they turn into a late dispatch.

API beats a nightly file

Virtualstock accepts flat files over SFTP as well as its REST API. Commercium connects through the API, so updates move in near real time and every response is checked rather than waiting for a file run.

The retailer owns the customer and the retail price

Orders are booked to the retailer as your customer, with the shopper only as the ship-to address and line prices at the retailer’s cost price, so receivables and revenue reflect what the retailer actually pays you.

Working notes from our integration team, we update this section as Virtualstock and retailer requirements change.

FAQ's

Acumatica + Virtualstock questions, answered

Technical questions about how the two platforms sync, and general questions about running on Commercium.

Can Commercium create products on Virtualstock?
No. Commercium doesn’t currently support product creation for Virtualstock. Products are set up on Virtualstock with each retailer, and Commercium matches them to your Acumatica stock items so orders, shipments, inventory and invoices sync automatically.
Can Virtualstock orders be sent to other systems as well as Acumatica?
Yes. Virtualstock orders can also be transformed and sent to supported ecommerce, OMS, WMS, accounting or fulfilment systems.
Can Commercium help new Virtualstock sellers?
Yes. Commercium works with businesses during onboarding to prepare product data, connect systems, configure mappings and establish operational workflows.
Can I connect more than one seller account of Virtualstock using Commercium?
Yes, you can add as many seller accounts as you want while remaining on your same plan using Commercium. You only upgrade when you cross your plan’s order limits.
What are the next steps to connect Acumatica to Virtualstock using Commercium?
Book a demo so we can scope your retailers and your order, shipment, inventory and invoice flows. Make sure your Virtualstock supplier account is live and request API access. Log in to the Commercium portal, connect Acumatica through its REST API with an integration user or connected application, connect Virtualstock and match retailer products to Acumatica stock items, then configure stock, order, dispatch and invoice rules and test every flow before go-live.
Which flows does Commercium sync between Acumatica and Virtualstock?
Four: orders (Virtualstock to Acumatica), shipments with carrier and tracking (Acumatica to Virtualstock), inventory (Acumatica to Virtualstock) and invoices (Acumatica to Virtualstock).
Is Virtualstock a marketplace?
Not exactly. Virtualstock is a dropship and curated marketplace platform that retailers use to sell supplier stock on their own websites. You don’t sell on Virtualstock itself: retailers such as Argos, B&Q, Currys and John Lewis send their customers’ orders through it, you ship them, and you invoice the retailer.
How do retailer orders appear in Acumatica?
As sales orders under the retailer’s own customer account, with the order type, branch and warehouse you choose. The retailer’s PO is stored as the customer order number, the Virtualstock order number as the external reference, and the shopper’s delivery address as the ship-to address, so receivables, revenue and stock movements land where your finance team expects.
Can I supply several retailers through one Virtualstock connection?
Yes. Commercium connects your Virtualstock supplier account once and handles each retailer separately, with its own customer account, product codes, order type, carrier mapping and invoice rules, all drawing on the same Acumatica stock.
How are invoices created and sent to Virtualstock?
When the invoice for a shipment is released in Acumatica, Commercium sends it to Virtualstock with the shipped lines, the retailer’s cost prices, VAT and any freight, so the invoice the retailer receives is the one on your books. Held or rejected invoices raise an alert in the portal.
Are partial dispatches supported?
Yes. Each partial shipment confirmed in Acumatica is sent as its own dispatch with tracking, and is invoiced for exactly the lines that shipped.
How is tracking sent to Virtualstock?
When a shipment is confirmed in Acumatica, Commercium marks the order dispatched on Virtualstock with the carrier from the Ship Via code and the tracking number from the shipment’s packages, mapped to what each retailer expects.
Which Acumatica warehouses does Virtualstock stock come from?
You choose. Available quantity from the selected warehouses is pooled, a safety buffer is held back, and the result is sent to Virtualstock near real-time.
Does Commercium sync prices or cancellations with Virtualstock?
Not on this integration. Commercium currently syncs orders, shipments, inventory and invoices between Acumatica and Virtualstock.
